While Google Forms gives users the freedom to customize the content of any form type, there is limited control over notifications about responses received. By default, Google Forms doesn’t automatically send email notifications for new form responses unless you enable it in the form settings. And if you do, the email notification will not include the form responses. That means you need to visit your Google Forms dashboard to view the respondent’s answers to your form. Install the add-on
Step 1: Open the form whose response you want to see directly in your email. Tap the three-dot menu icon in the top left corner.
Step 2: Select Add-ons.
That will open up the G Suite Marketplace (an online store for web apps compatible with Google Apps) in a new window. Now we would install the add-on that allows you to get the content of form responses directly to your email inbox. Step 3: Type Email Notification for Google Forms in the search box and select the corresponding app from the results page.
Step 4: Tap Install button
Step 5: Tap Continue to allow the Google Form Email Notification add-on to access your account.
Do this and a new window will appear asking you to sign in to your Google account.up Step 6: Enter your account information and log in.
If you have successfully signed into your account, the required permissions of the add-on will be displayed and the interface will prompt you to access your account again. Step 7: Tap Allow to grant the add-on the required permissions.
A security alert stating that ‘Email notifications for forms’ has the necessary access will be sent to your email. Now you can continue to use the add-on to customize your form response to include the content of the respondent’s responses.
Send form responses to your email
Step 1: When you’re done creating or editing your form on the Google Forms dashboard, tap the add-on icon in the top left corner of the page.
Step 2: Tap the option ‘Email notifications for Google Forms’.
Step 3: On the new window that appears up, select the ‘Create email notification’ option.
That brings up a new section in the lower left corner of the Google Forms page. That’s where you would customize the content of the form responses that would be sent to your email. Step 4: Type a name in the Rule Name section. The rule name can be the same as the title / name of your form. That way, the line would be easily recognizable if you had to edit it later.
S.point 5: Then enter the email address to which the form responses should be sent. It could be the same email address associated with your Google Form account or a completely different email address.
Step 6: Scroll to the bottom of the window and tap the save rule button to finalize all changes.
And that’s it. Each time there is a new response to your form, you will be notified with the responses / responses from the respondent (s), which will also appear directly in the email.
You no longer need to go to the Google Forms dashboard to view responses to your forms unless you want to.
Customize comment selection and template
Another thing I liked about this add-on is that users can customize the template of their form responses. That means you can choose which question (s) you want to see their answers in your inbox. Step 1: Tap Edit button next to the ‘Use a visual editor’ option.
That will open up a new ‘Email Template Designer’ window. Step 2: If you only need to see answers to a particular question, delete ‘{{All Answers}}’ in the message body and tap the ‘Add form field’ dropdown button
Step 3: Under the ‘Reply to …’ section, select a question whose answer you want to see in the reply email.
You can select multiple questions in a row. Step 4: Under the General section of the form field, you can also choose to add other optional details such as form URL, response date, reply ID, etc.
Just tap on one of them to add to your template. Step 5: When you have finished customizing your form template, tap Save button
