Several people often keep numerous tabs open in their browser – I am one of them. Tabs are a rabbit hole in disguise. You open a few tabs during the search and end up with some open ones. It gets challenging to manage and organize such a chaotic tabbed experience. The browsers offer very limited features to organize tabs. Fortunately, Chrome extensions such as Toby and Workona come to our rescue. Toby tries to improve your experience of organizing tabs, and Working is a full-fledged productivity tool in its own right. While Toby uses collections to store your tabs, Workona consists of workspaces. You can also use them both as session managers. Let’s see what makes Workona and Toby similar and how they differ.
availability
Working works on Firefox, Chrome and Microsoft Edge. Toby, on the other hand, is limited to Chrome and Opera. None of them offers committed mobile apps. However, you can access your workplaces on Workona via mobile browsers. Toby does not have a standalone web version. The extension must be installed to use; therefore, you can only use it on a PC. New tab page
Both extensions will take over your new tab page in Chrome. While that’s a good approach for faster access, using any other new page extension is not feasible. Fortunately, you can disable this behaviour for Working in the extension settings. Once disabled, you can open workona.com directly or use the pinned Workona tab. While Toby doesn’t let you change this behaviour, it offers a separate extension known as Toby Mini if you want to keep using a different New Tab page. Download Toby Mini
Work and user interface
Workona is a combination of a bookmark and a tab manager. Workona consists of workspaces, which are smart folders. Workspaces contain web pages and are present in the left sidebar. To switch to a workspace, click on its name in the left sidebar.
Each workspace consists of two sections: open tabs and resources. Open tabs are, as the name suggests, the tabs currently open in any workspace. They reappear when you switch between workspaces. To save tabs for later, you need to add them to the resources section. The resources section has been created up of blocks. Think of block as subfolders for workspaces. So you can further organize your links here into different categories. You can rename blocks, open all links from within a block, move links between different blocks and much more.
Whenever you switch to a workspace, Workona hides the tabs of the current workspace (or session) and opens another set of tabs from the second workspace in the same window. So instead of switching between multiple Chrome windows, you should switch between Workona workspaces. You can change this behavior so that each workspace opens in a separate Chrome window. On the left side of the sidebar you will find the list of apps. These are filled in based on your web history. You can also add them manually. The Apps section allows you to view, create and access app sources or pages directly from Workona without leaving it. For example, here’s a list of my frequently visited Canva pages that are automatically displayed in the Canva app in Workona. Rather than opening the Canva website first and searching for my favorite template, I can quickly access it using Workona.
Toby is simple compared to Workona as it only works as a tab manager. The tabs are organized in folders known as collections, where they are displayed in card format. You will find the list of currently open tabs on the right. Click Save Session button to save all tabs in your current session. To save a tab from the current session, drag it from the right to left panel within a collection.

Easy to use
Imagine opening 3 workspaces from Workona and opening more tabs in those workspaces. Interestingly, Workona stores all of the tabs currently open in your workspaces under the Tabs section of each workspace. That’s to protect them in case your browser crashes or you accidentally close Chrome. You don’t have to worry about losing your precious unsaved tabs. It automatically saves your work. Fortunately, both provide drag and drop feature to easily move tabs between different sections. While Workona allows you to select multiple tabs, you can’t do the same in Toby. It can be a problem if you want to reorganize tabs in bulk. Toby also misses the feature of manually adding links to collections. You can only add them if the tab is currently open. Finding opportunities
While both provide the quest feature, which resembles steroids in Workona. Besides searching for the saved pages in workspaces, you can use it to search your web history. That is not all. You can even generate a search for the apps in Workona. The webpage of that particular app will open directly with your search query.
You can use the search box in Workona to open web pages for writing a document, composing an email or tweet. Just type / new and a list will be populated. Click on the website to open it directly. When it comes to Toby, it can only be used to search for saved tabs in collections.
Pause tabs
You may have heard of suspender extensions. Workona offers it as an installation featureWhen you suspend tabs, they use less memory than when they are active. Toby doesn’t let your tabs suspend. However, when you move a tab to a collection from the currently open section, it will be closed automatically. You have to open it again to use it.
Synchronization and collaboration
Both extensions provide the synchronization feature making it easy to access your saved tabs on different devices. As mentioned above, you can access Workona from any mobile browser and view your saved websites. When it comes to collaboration, both offer the same again. In Workona, you have to share your workspaces with others to collaborate with them. Only the tabs under resources are shared and not the currently open tabs. In Toby you have to set up an organization to share collections with your team.
Pricing
Currently both extensions are available for free. In Workona you can only create 10 workspaces in the free version. A pro version is in the pipeline that will offer unlimited workspaces.
Manage your tabs
Workona tells you it’s okay to open a lot of tabs. And in a sense it is like an operating system for efficient work. Yes, there is a bit of a learning curve involved to the many features Toby, on the other hand, is simple and easy to use, as also stated by Workona. You will master it within 5 minutes.
